Web Based Human Resource Information Service(PeopleServe)' consists of 12 modules, of these
3 are mandatory. All modules can be viewed below.
PeopleServe
is an integrated suite of Human resource planning
management applications supported by an extremely
flexible and comprehensive HR administration system.
This is designed to capture and accurately
maintain company details and a comprehensive
employee database in which current and
historical data is stored. The Core Module links
all modules together and provides access to
shared information.

Personnel Information Module
The Personnel module allows the user to define all key
details of an employee that are important to the personnel
department. It allows the tracking of information concerning
an employee's qualifications, skills, past employment,
dependent/spouse details. It allows details of company assets
issued to the employee (personal computers, mobile telephones
etc.) to be recorded and controlled.
Full details of all injuries sustained on the job and the
resultant loss of man-days, compensation etc. is available
within the system. All instances of employee misconduct along
with the appropriate action taken by the management can be
recorded on the system. The personnel data files allow
variable record lengths, thereby optimizing the use of disk
space.
Security Module
Protecting employee details and similar sensitive
information, has always been a major concern.
PeopleServe
is equipped with a role-based security
system, which is capable of defining each user
access ranging from the system access level to the
data operation level. It also captures and maintains
comprehensive audit trails of the activities within
the system. In addition to the normal operating
platform password security, the programme
requires each user to maintain a separate
PeopleServe password; hence preventing
unauthorized users from accessing the system. It
also offers a powerful menu management system
that allows definition of individual user accessibility
to any module or function.
Training
The Training module is concerned with
training administration for employees within
the organisation. It is largely driven by user-defined
factors and parameters. It maintains
detailed records of all training provided to
employees through internal/external courses
including individual employee course
attendance, individual employee performance
on those courses and company
sponsorships/subsidies on course fees. This
data may be used by the Performance
Appraisal system in annual job reviews or in
making promotion decisions.
Time Management
Time Management module focuses on employee
daily attendance, lateness, absenteeism, overtime
and attendance based allowances and deductions.
Time Management can be linked to electronic time
clock to provide daily attendance details. It has
built-in capability for capturing, validating and
updating attendance details. It allows creation of
unlimited shifts, definition of shifts details, and
adaptive rostering for an individual employee or a
group of employees conforming to a certain shift
and computes attendance-based allowances and
deductions.
Time Management is a proactive tool that empowers
managers and employees through active
participation with employee and departmental
scheduling, cost allocation and performance
analysis.
Leave Tracking
The main purpose of Leave Tracking module
is to effectively enforce the company’s leave
policies and keep track of each employee’s
leave information with up to the minute
accuracy. This is done through defining
specific leave policies by setting up leave
parameters in the system. Different leave
privileges can be defined and applied to the
entire organisation, to a certain type of
employees as well as to a specific employee.
Flexibility of defining leave policies for the
organisation is further supported through the
Flex-Rules Engine in which complex leave
policies from eligibility creation up to leave
approval can be defined and changed at any
time. Further, this module has been designed
to be workflow based from leave entitlement
creation up to leave planning and approval.
Payroll
The Payroll module receives information from other modules, such as the
Training, Attendance, Benefit Tracking, Loan Tracking, Leave Tracking and
Performance Appraisal, and processes the employees' payroll data. Facilities
have been
provided for monthly and fortnightly salary payments. It is designed to handle
pay period details, advance pay, increments, bonus, allowances, deductions and
statutory
requirements. The generation and reporting of statutory data is country
dependent. The powerful payroll engine can process 10,000 employees in less than
1 hour.
Loan Tracking
The Loan Tracking module is concerned with the grant of various types of
loans to employees and their recovery. Major features within this module
include: establishing company-wide rules and limits for loans, user-defined loan
types/sub-types, rules that apply to collateral and guarantor details,
eligibility criteria, approval/overriding authority, various interest methods,
loan foreclosure, recovery through
payroll, option for combined or separate principal/interest recovery, loan
restructuring and loan reports.
Benefit Tracking
Most companies provide their employees different benefits during their stay
in the company. Conventional systems may allow such benefits to be recorded but
provide no analysis. Benefit tracking is designed to handle this. The Benefit
Tracking module defines and administers the various kinds of benefits available
to employees. Major features within
this module include user-defined benefits, monetary/non-monetary benefits,
benefit ceiling, eligibility criteria, employee-employer ratio for benefits,
benefit suspension, link to Payroll and benefit reports.
Performance Appraisal
Performance Appraisal is a useful management tool. It allows for an objective
and formalised approach to the appraisal process. Criteria on which the
appraisal is based and the value or "weight" attached to each of the criteria
can be
defined and applied through the system. Key features within this module include:
user-defined appraisal criteria, value for each criterion, appraisal sessions,
individual appraisal findings, overall grading based on
values, recommended actions, link to Payroll,
Core Module, Training and extensive reporting
on appraisal.
Cost Allocation
This module allows the cost of an employee to
be allocated to various departments based on
the distribution table, or based on actual time
data captured through payroll. Significant
features within the module include: definition
of cost centre distribution table, cost allocation
reporting analysis of costs on user selected
criteria and manpower cost summary.
Recruitment
In today’s work place, attracting and retaining talent does not only require
good compensation packages but also requires
employee relationship management as well. Recruitment module is intended to
facilitate the organisation in making these activities effective and efficient.
Recruitment module
is designed to reduce the time to hire new talent from various sources through a
comprehensive database of both external
and internal talent information. With its seamless integration to
PeopleServe
modules, executive alerts are raised once
new positions need to be filled, filters can be set to select only the few and
the right people for the job and work-flow based approach to resource
requisition.
Web Access
Our web integrated services for employees and management is a complete self
service module that allows the organisation to reduce the cost of maintaining
personal information and to improve service levels to all staff. It streamlines
and simplifies the maintenance of employee
data by giving ownership to the employees themselves. Web integrated service
delivers a full range of Web-based
self service capabilities including personal data maintenance, update & inquiry,
Leave application, Over Time application, Leave balance inquiry, inquires on pay
slip and document exchange facility.
